I think most dealerships need to be trained in the 5S (part of Lean Manufacturing) philosophy.
Regardless of the organizational system you establish, its only as effective as the people who interact with the system. Too many times I've seen a great organizational solution implemented, and a few months later it is a trashy mess. The reason? People stop following standard work instructions as soon as the ink is dry. Without someone continuously pushing, any system will fall into chaos within weeks.
That being said, I recall one Cat dealership that had a mail cabinet system(see attached photo). One cabinet was all machines for sale. One was repair machines, etc... The nice thing was that all departments could swing by, and add or remove papers from each slot as necessary. I believe they kept everything in a clear paper folder with string tie to keep it closed.
