HELP!!!!!

A new issue/twist.

One of the coordinator's wives spoke with a representative from the Native American group that's coming. Apparently, the number of 500 people coming was incorrect. They said to plan on closer to 2400-2500 /forums/images/graemlins/shocked.gif /forums/images/graemlins/confused.gif

So, a bunch of logistic things need to change, obviously in volume. A couple things are too late to add (like killing more buffalo for burgers and stuff) but everything else just got stepped up.

A couple new questions.
What is an appropriate ration of porta-potties to attendees? I've heard everywhere from 1-40 to 1-100. Any advise? We will have separate mens/womens.

It sounds like the Native American troupe that's coming is on a summer-long venture and travel across the country doing these events. We're now expecting somewhere around 100+ campers. I haven't been able to find out specifics yet, but what is the likelihood that these are self-sufficient campers? The area where they'll be parked is about 800' to the closest place that has electric and we won't be able to get electric to them from that source. If they do need electric, we're now on generators. We have a few 7000w generators if we really need them but do we need some 20Kw generators? Any idea how much to rent them for a weekend?

Larry - As it works out, the town that the event will be held in doesn't care for fireworks. We're not going to give them a "heads up" until last minute. One of the coordinators is friends with a neighboring towns fire chief and it looks like they'll send a truck out for us.

Dave - We have approx. 2700 bales available. Thanks. We'll pull them out if/when needed.

Moon - Good idea but the group that's coming also brings their own vendors. I'm pretty sure they don't want us to offer much more than food. The profits from their vendor sales is what helps pay for them to travel everywhere to do these events.

California - I like the attachment. I made up about 40 different signs (everything from parking to directions, no smoking, keep away from ele. fence...).

Brian it sure sounds like you have been putting a great deal of thought and planning into the event. Also sounds like it could be a lot of fun. Your new twist has stepped it up to a different level though. Made me wonder if the greater volume of people requires any different type of event permit locally? It may be that event permits are not an issue though. It is surprising that at this late date there are facility requirements that are still in question. I would have expected that the traveling troupe or whoever schedules these events would have had a clearer outline of their expectations for the host facility before contracting with you. I guess the number of participants can vary up to the last minute but there must be a huge difference in your cost for 2500 people as opposed to 500. Things could get ugly if 200 campers show up expecting electric and sewage dump facilities. Sounds like all your equipment, supplies and staff needs have to be multiplied by 5.

Naturally we expect a full report of the good, the bad and the ugly after the event. Good luck.

Hadn't thought about a different permit but I'll check.

In terms of facilities, I "think" we're OK on everything but food needed and # of bathroom facilities (both of which can by dynamically changed as we have people/companies on standby if we need more).

We've allocated space for another 800 cars. Not expecting too many more campers since most that are coming will be with the event. We've already informed them that there is no sewage dumping and electric available which they were OK with. They're staying at campgrounds between events and will just dump right before they leave. For electric, we've got 5-8 generators on site just in case someone will need one.

I'll obviously be offline for the next several days but will post how it went early next week.

I would have at least a half dozen "caution tapes" to use if you need to close off an area. Also 4' oak sticks and a hammer to put them into the ground as needed. One or two golf carts for personnel to get around quickly. Also, if it is a volunteer fire / ems squad, give them a donation and ask them if they would "stand by" at the location in case there was a problem. Portable radios to communicate between event personnel. Don't rely on cell phones if there is an emergency, you might not get an open line easily. How will people be admitted.... paid or free?? If paid, you need a way to keep out the free loaders and a way to id the paid people. Good luck.... sounds like you are certainly going to need it. Thanks for the thoughts Junk.

The perimeter of the area is surrounded by high tensile electric fence. We're going to stretch caution tape as well as signs on the fencing. Signs will alternate between "electric fence - do not touch" as well as "keep away from the animals".
The entrance area is setup whereby we shouldn't get any freeloaders. They'll be paying from their car as they enter the premises. Freeloaders would need to come through the fenced fields. If the electric fence doesn't detract them, the herd of buffalo charging at them should do it.

I took 8 FRS radios and my RTV up there. Another guy is bringing 2 golf carts.

Custer and calvary can't come. Anyone caught with firearms or drugs or anything illegal will be arrested on the spot and taken to jail. Any alcohol will be confiscated.

Not sure if security is going to confiscate (so we have something afterwards) or dump it. If it's good stuff, I'll ask if they'll consider the former. Dumping it would be "alcohol abuse"

The litter will eventually blow elsewhere (unless it's in a tree /forums/images/graemlins/mad.gif), but the fence is kind of "permanent". /forums/images/graemlins/crazy.gif /forums/images/graemlins/frown.gif

Phil,

We will have official security people on site 24/7. We've hired some police and Sheriff Deputies. They'll be in full gear so people "should" know to behave. We've given them full rights to arrest or otherwise anyone for any infractions.

Insurance has been beefed up... big time!
